A Telegram Bot That Sends Website Forms to Your Chat

To stop losing leads, a website enquiry has to arrive where you will actually see it. On pageever, every form sends the lead to three places at once: the owner’s Telegram, the site’s admin panel and email. The notification fires the moment the form is submitted, so you can reply within minutes instead of the next day.

Why leads get lost in the first place

The most common way to lose a customer is unglamorous. There is a form on the site, submissions land in an inbox, and the owner checks that inbox once or twice a day. The customer wrote at 11:00, the email got opened at 21:00, ten hours later. Someone who needs a plumber, a lawyer or a consultation has left enquiries on several other sites by then, and has most likely already agreed with whoever answered first. The worst part is that the owner usually never learns how many such leads were lost: an email opened too late looks exactly like an email answered on time.

The second pattern: enquiries arrive as personal Telegram messages and drown among chats with friends and work groups. A message from a new customer looks like any other. It slides down the list, and by evening twenty fresh conversations sit on top of it.

In both cases the problem is the channel, not laziness: the lead arrives where nobody is watching for it.

How lead intake works on pageever

A visitor fills in the form (name, contact, message) and hits “Send”. That same second the lead goes out through three channels:

ChannelWhat it is for
TelegramA push on the phone the moment the form is sent, the fastest way to learn about a lead
Admin panelEvery enquiry in one list, nothing disappears even if you swipe the push away
EmailA backup copy and an archive

The duplication is deliberate. Telegram covers speed, the admin panel covers order, email covers the worst case. If the phone dies or the notification gets swiped away, the lead still sits in the admin panel and in the inbox. Monitoring alerts arrive in the same Telegram too: if something is wrong with the site or the bot, the owner finds out in the same messenger where the leads are.

The message itself shows the name, the contact, the text and the page the lead came from. That last detail is more useful than it sounds: after a month you can tell which form on the site actually brings customers and which one is decoration.

What it looks like for the customer

Nothing changes for the visitor: they fill in an ordinary form and are not redirected anywhere. The difference starts after the button is pressed. If a bot with an auto-reply is connected, the customer immediately sees “we got your request, we will answer during working hours” and knows the enquiry did not vanish into a void. And when a real answer arrives half an hour later, it convinces better than any “why choose us” block: the person has just seen first-hand that this business reacts fast.

There is a flip side. If the auto-reply promises “we will answer in 5 minutes” and the live answer comes the next day, the contrast works against you. So the promise in the auto-reply should be one you actually keep every day.

What speed buys you: a story about a lawyer

One of our clients is a lawyer. In his niche, a person with a legal question almost never writes to a single specialist: they open several sites, leave several enquiries in a row and wait to see who responds.

One day a lead from his site landed in Telegram the second the visitor pressed “Send”. The lawyer saw the push and replied right away. The client bought a consultation from him, not because his site was better or his price lower, but because the other lawyers did not yet know the enquiry existed.

The story is anonymous, but the mechanics apply to any niche where customers write to several providers at once: the one they hear from first wins.

What happens to a lead at night

The honest answer: it waits for morning. We work Monday to Friday, 09:00 to 19:00 Kyiv time, and we do not promise replies at night. We advise our clients to do the same: stating real working hours beats promising round-the-clock replies and failing at it.

The system’s job is to get the night lead to the morning intact. It already sits in Telegram, in the admin panel and in the inbox, so the owner sees it first thing instead of finding it two days later in the “Promotions” folder. The same goes for weekends: a Saturday-evening lead is not going anywhere from the admin panel and will wait for Monday.

What a lead-intake bot costs

A lead-intake bot costs €200–350 and takes 2–4 days to build. The price covers the bot itself, wiring it to the site’s forms and setting up notifications to the right chat. There is no separate server bill: bot hosting is part of the €8–€32/mo subscription together with site hosting. If your site is already on pageever, the simplest scenario works out of the box: a form with a Telegram notification is included even in the basic plan, and a dedicated bot makes sense when you want your own scenarios, such as a greeting, follow-up questions or an automatic “request received” reply. We check that the bot is alive every day as part of monitoring: if it stops delivering messages, we find out ourselves rather than from an owner who spent a week wondering why things went quiet.

More complex bots cost more (€350–550 for booking, €550–800 for a catalogue with payments), but for the job of not losing leads the basic type is enough. A form on the site, three delivery channels and a person who answers during working hours: that chain is enough to make sure no enquiry sits unseen longer than until the next morning.

All the technology here costs €200–350 once for development, plus a subscription from €8/mo where the bot lives alongside the site. After that it comes down to who picks up during working hours.
